Scope & Complexity

We have extensive experience working with a number of project management methodologies (e.g. APM, Agile, Prince2 etc) and we will work with you to determine the most appropriate for your organisation or seamlessly integrate with your own preferred method of project management. 

We will work with you prior to project commencement to determine the full scope an conduct a gap analysis to determine the complexity of the project or programme depending upon your requirements. We use our project complexity checklist to determine the amount of resource required for the project delivery and to determine the level of controls required for its duration. 

Our team have experience of delivering small projects e.g. OpEx improvement projects and large CapEx programmes on National infrastructure upgrades. We will be able to assist your business across this broad spectrum.

Scoping & Initiation

As mentioned above, we determine the complexity of the project as early as possible and create a series of documentation to support this process and commence the project initiation e.g:

- Business Plan (PD) if required
- Project Initiation Document (PID)
- Programme of Work (POW)
- Plan on a Page (POP)
- Project Board TOR (PBT)
- Safety, Health & Environmental Plan (SHE)
- Data Protection Impact Assessment (DIA)
- RAID Log (RAL)
- Actions Log (PAL)
- Communication Plan (COP)
- Financial Projections (PFP)
- Documentation Structure (DOS)

We hold a project launch meeting and schedule weekly project reviews where we issue a Programme of Work update and status report in advance. We also hold separate Project Board meetings to oversee the delivery of the project stages, to sign-off key documentation and to authorise movement between each stage of the project. This is our method for providing ‘line of sight’ governance to the Senior Management Team.

Planning & Definition

We complete the planning element of the project by refining the programme of work and defining the options and requirements for each project/programme pathway. This is supported by the following documentation:

- Options & Requirements Document (ORD)
- Functional Design Specifications (FDS)

Execution & Familiarisation

We work rigorously to deliver the project to the desired quality, on time and to the forecast cost. We work with your business representatives informing them of any issues and collectively resolve each one to satisfaction and approval form the Project Board. Risks are managed accordingly and we ensure that the appropriate resources are utilised in an efficient way. Part of the programme of work is the transfer of knowledge from our Subject Matter Experts to your business representatives and this is done throughout the project and during planned training sessions.

Performance Testing & Integration

We want to ensure that what we give you is ‘fit for purpose’ and we will test and commission the changes/services/systems we implement to ensure that this is the case. Training and familiarisation is one step in this process and the operational integration with your existing business practices is critical therefore we work with you to meet your requirements. Typically, we will provide the following documentation in support:

- Policy & Governance Documents: These include subject policies and organisational structure requirements (L1).
- Core Procedures: These are operational control and management procedures, which are utilised during training and provide instruction on how to deliver your new process effectively (L2).
- Work Instructions: These may be required where there are very specific operational controls and practices required (L3).
- Forms & Records: These will be relevant templates that will be required to demonstrate conformity to requirements or validation of operational or quality control tasks (L4).

Close Out & Monitoring

We follow our plans and programme of work through to completion and test at each relevant stage. When the time is right we need to hand over the operation to your business and we will only do that when we collectively feel that we are ready. When all testing is complete to the satisfaction of the Project Board we will handover to your business representatives.

However, we don’t just disappear, we conduct a business realisation exercise to check that the project/programme had the desired effect and that you are satisfied with the outcome. We also monitor the operation in conjunction with your business representatives and make amendments where required as part of our philosophy of continuous improvement. We always learn new things through the execution of each project and we will always amend accordingly. We conduct a final stage audit to verify compliance with the original project/programme requirements and this usually closes out the engagement.

Recent Examples

Information Security Management Systems

We have implemented management systems to the ISO27001 & 27005 standards with c.12 Energy Supply businesses across the UK. These systems were required to satisfy the Smart Energy Code (SEC), Section G and to meet the recommendations of the Security Controls Framework. The systems were all independently audited by Deloitte on behalf of the Smart Energy Code Administrator & Secretariat (SECAS) where every one passed the level of control required and has continued to do so every year since.

Data Protection
Compliance

With the introduction of GDPR and the update of the DPA we implemented Data Protection Management Systems across 6 Energy Supply companies and one Charity Organisation. This was all done to the ISO 27018 & 27701 standards for privacy protection control.

Energy Regulation Compliance

We are working with a UK based Energy Supplier to prepare them for their Warm Home Discount and ECO3 obligations. This is a programme of work impacting on business process and back-end systems. It also involves the placing and management of contracts with third parties to deliver specific heat saving installations across the UK.
